Public Services

The College is able to offer all its facilities for public use from Queen Mary's Hall and Central Studio to the Sports Centre with its Swimming Pool, All Weather Pitch and Fitness Suite. From extensive conference facilities to small intimate meeting spaces all enhanced by a full range of supporting services. In addition, the College's Help Desk is staffed during most evenings and weekends offering a welcome to visitors, information and light refreshments. Public Services can help make your event happen.

Queen Mary's Hall

A 350 seater Hall with a Theatre and Music Licence and a full Justice's Licence. After the Anvil and the Haymarket, the Hall is recognised as an important community resource with considerable use by local performance and cultural groups presenting all shades of music from classical to world, dancing and stage shows, presentations, celebrations and fairs.

The Hall has full stage lighting and sound systems and the services of appropriate technicians are available.  

Box Office services can be provided in conjunction with Central Studio and there is a convivial licensed Bar with a specially commissioned ‘light sculpture' and doors which open on to a paved patio area.

Available for day hire and evening hire.

The Conference Room

A contemporary space within the main College building, adjacent to Café QM.
It is fully equipped with comfortable and modern facilities, with an inbuilt projector, screen and flipcharts as standard.  It is perfect for ‘board room’ style meetings of up to 30 while 50 can be accommodated in ‘theatre’ layout.   For those who like to do their own catering, all Conference Room bookings include the use of crockery, kettles, refrigerator and dishwasher while its proximity to Café QM opens up a complete range of catering options.  Nearby classrooms with a range of facilities can be incorporated into bookings when seminar rooms are required.

Classrooms

At evenings and weekends we offer a set of smart classrooms close to the Help Desk that are suitable for meetings and small classes of up to 30 people.

Elsewhere special purpose rooms are available from art and music rooms to language labs and IT suites.  All classrooms are equipped with a PC and data projector, with many now available with interactive whiteboards.

Frequently Asked Questions


Do I pay in advance?
New customers are asked to pay a deposit at time of booking.  Regular customers booking more than 12 sessions will be invoiced monthly.

What is your cancellation policy?
If the booking is cancelled within 14 days of the date then the deposit is not refundable.  If the College is liable for any costs related to the booking, these costs will be reimbursed to the College by the hirer.

What do the venue hire fees include?
Data projector, overhead projector, whiteboards, flipcharts, pens, computer (memory sticks please).
Crockery, cutlery, refrigerator, dishwasher, water boiler (conference room only).

Is set up time included?
Please allow for setting up and clearing out in your booking times.

Can we bring our own caterer?
Yes, but full catering facilities are available via Café QM, our onsite caterers.

Can we use our own electrical equipment in the venue?
Stand alone computer systems linked to your own data projector are fine, but presentations can be run through our systems by memory stick.  Any other electrical equipment must be in a fit and safe state covered by a PAT test.

Can we smoke inside the venue?
Queen Mary’s College is proud to be a No Smoking Campus.

Are there any restrictions regarding theming or decorations?
We ask for advance warning to allow a risk assessment to be undertaken.

Can I hire a venue for a half day or a couple of hours?
Minimum hire is 1 hour.

What is the booking procedure?
Fill out Booking Contract and Public Services will usually contact you within 3 working days (term time).  May be longer at College holiday times.

Can our guests use the College Car Park?
Yes, although College has very limited parking during weekdays and encourages a transport policy including lift sharing and public transport.  How to Find Us.

What about access and set up for caterers and suppliers?
Prior access can be booked through Public Services.

Can we deliver or set up the day before an event?
Yes, if bookings allow.

Can we arrange to leave items in the venue overnight?
Yes, subject to College activities.

Can my event go later than 11pm?
Midnight is usually the latest an event can run – please refer to Hire Charges

Does QMC ever offer a discount on their venue hire fees?
Community rates are available and discounted rates are considered on application.

Do you have an outdoor space that is available for hire?
Yes – QMC is on a parkland campus with a variety of outdoor spaces.

Can we hire out a venue at QMC for a ticketed event or an event that is open to the public?
Yes.  QMC welcomes members of the local community onto the campus.  Tickets to your event can be sold through the Central Studio Box Office on a separate contract with them.
